We have an exciting opportunity for an Auction Coordinator role in a London-based Auction House. It is a well-established London auction house that endorses works of art from all eras and mediums, offering clients highly classified and professional valuations as well as viewing rare and beautiful works of art. The house is seeking to hire a Mandarin-speaking auction coordinator to facilitate the auctions.

Job Requirements:

  • Extensive field experience, either at auction, in the trade, or at another relevant institution.
  • A thorough understanding of Asian art marketing (particularly Chinese art), ideally with experience using channels such as WeChat.
  • Excellent teamwork abilities.
  • Excellent oral and written communication skills in both English and Mandarin.
  • A solid understanding of Chinese culture is preferably obtained through residing and working in the PRC or the ROC.
  • Excellent interpersonal skills.
  • Outstanding time-management, organisational, and administrative skills, including the capacity to meet deadlines for auctions.
  • Experience working on long-term and short-term projects of all sizes; demonstrated ability to plan a diverse range of concurrent projects.
  • Excellent understanding of the MS 365 Suite (Word, Excel, PowerPoint, SharePoint, Outlook, etc).
  • Excellent customer service abilities.
  • Excellent follow-up skills and attention to detail.
  • Capability to thrive in a high-paced team environment.
  • A positive attitude, an inquisitive mind, and an eagerness to actively seek out new duties and opportunities are all required.

Responsibilities

Job Responsibilities:

  • Assist in entering items into the Go Auction database system.
  • Specialists should be encouraged to label items correctly.
  • Collaborate with the specialists to maintain the stock location database.
  • Send agreements to vendors and obtain signed copies / pre-sale advice, including estimates and reserves.
  • Keep track of expenses like restoration and authentication that will be deducted from the client's settlement.
  • Assist and supervise the shipment of inbound shipments with shippers and clients.
  • Help with catalogue production by helping to oversee the photography, such as taking photos in natural light, helping with the numbering/renumbering of a sale's lot numbers, and making sure the finished catalogue is uploaded online.
  • Prior to a sale, ensure that all lots are properly lotted with lot number tags and so on.
  • Supervise the Art Handlers as they bring works to the screening room.
  • Make and display lot labels.
  • Help the Specialists by sending out condition reports and responding to general pre-sale inquiries.
  • Help the art handlers with the sale preview showcase set up.
  • Assist with the actual sale, including taking part in the client telephone bidding.
  • Take on the task of translating a lot of descriptions into Chinese.
  • Liaison with Chinese language digital marketing channels, including the gathering and preparation of appropriate content for platforms such as WeChat promo accounts, webpages, and printed publications.
  • Provide the Head of Marketing with recommendations for additional advertising and promotion venues based on the sale's content, and negotiate prices as necessary.
  • Coordination of auction viewings, training of interns, and assistance to clients during viewings (2 weekends for sales in May and November).
  • Continue to keep an eye on the inventory in terms of sales, Return-To-Vendor contacts, re-entries, and clearing storage for the next sale.
  • Serving as the primary point of contact for Chinese-speaking customers with post-sale service issues, you will assist the accounts department in acquiring post-sale payments.
  • Be in charge of ensuring that all vendor terms, including payment details, are accurate in Go Auction.
  • Take part in the entire after-sales analysis and collaborate with the team to put any agreed-upon changes into action.
  • In consultation with the Head of Department, oversee the contracts system to maximise margins and increase revenue.
  • Be the go-to person for Japanese art when the specialist is not available.
  • Create consistent Weibo and WeChat posts and distribute them to department members, collaborating with the marketing department.
  • As needed to support cataloguing and promo, transcribe seals and inscriptions.
  • Ensure that all internal policies and procedures, as well as any pertinent external bodies or processes, are followed.
  • Participate in organisational-wide meetings, activities, and processes, as well as establish internal contacts, networks, and interactions as needed.
  • Attend events, art shows, and other gatherings to represent the house.
  • Other responsibilities as assigned by the Department Head, Directors, and MD.
