We have an exciting opportunity for an Administration Clerk role in a Construction company based in China. The corporation has a rich history of over 60 years and a global presence in investing, development, and construction. This position's purpose is to help the Admin Manager in maintaining smooth operations by carrying out numerous administrative and clerical activities as well as daily administrative duties.

Job Requirements:

  • Previous administrative experience in the Chinese mainland is required.
  • It is preferable to use own vehicle.
  • Excellent MS Office skills.
  • Mathematical and English language proficiency of grade 3 or higher (or equivalent).
  • It is crucial to have excellent spoken and written Chinese.
  • Dependable, tenacious, and sincere.
  • Excellent interpersonal and communication abilities.
  • Detail oriented.
  • Tenacious and determined mindset.
  • Structured work strategy - organised and capable of multitasking
  • Capability to establish productive working relationships.
  • Capability to communicate knowledge, understanding, and ideas effectively.
  • Positivity, ability to solve problems, and productivity.

Responsibilities

Job Responsibilities:

  • Greeting and welcoming visitors
  • Receiving, screening, and routing incoming calls.
  • Making arrangements for meetings, parking, and the availability of all drinks and stationery.
  • Handling all incoming and outgoing mail, as well as accepting deliveries at the office.
  • Other administrative tasks such as printing, scanning, binding, and filing different papers.
  • Purchasing stationery and office supplies.
  • Immediately reporting any maintenance problems.
  • Maintaining the office space's general cleanliness and appearance.
  • Typing documents such as Word, PowerPoint, and Excel.
  • Making purchase invoices.
  • Calendar management in Outlook.
  • Project management of the document control requirements to guarantee their execution and compliance.
  • To suit the needs of the business, make sure the procedures are followed to the letter.
  • Recognize the durations for archiving each type of document to provide consistent archiving.
  • Organizing printing and drawings as needed (internal or external provider), as well as internal distribution.
  • Translating materials into Chinese and English.
  • Maintaining communication with Beijing's headquarters on project updates by submitting project reports and other documents as needed.
