We have an exciting opportunity for an EA / Business Administrator with a Bookkeeping role in a London based investment management company. The firm is well-positioned to connect investment possibilities between the UK and Chinese markets in a variety of key areas. The organisation is searching for a full-time EA that is efficient, adaptable, and proactive in order to support and help the director's smooth daily operations. This is a full-time position with 2 months probation. 

Job Requirements:

  • Multitasking ability and ability to prioritise daily job load.
  • Outstanding verbal and written communication abilities.
  • Can work autonomously, pro-actively, and meet deadlines.
  • Excellent time management.
  • Trustworthiness, as well as the capacity to operate with discretion and confidentiality.
  • Understand how to use Mac.
  • Strong PA/EA expertise, particularly at the senior level, with formal administrative/secretarial training is required.
  • Advanced knowledge of Microsoft Office and a solid understanding of all other working IT systems.
  • Experience with fundamental business tasks such as finance, communications, and information technology systems.
  • Adobe InDesign is preferred but not required (training provided).
     

Responsibilities

Job Responsibilities:

  • Assist the Director with all aspects of personal and professional administration.
  • Actively manage and monitor diaries, setting appointments and organizing internal and external client meetings, as well as ensuring that all work activities are efficiently organised, including the detection and resolution of any issues and overlaps.
  • Prepare documents for the Director in preparation of meetings, and clarify needs as much in advance as possible.
  • Assist the Director with ad hoc tasks and initiatives.
  • Notes are taken during ad hoc meetings of the Company Directors.
  • Assist as the initial point of contact by handling letters and phone calls.
  • As needed, reply to emails on behalf of the Director.
  • General administrative assistance, including the compilation and preparation of schedules, reports, presentations, and communications.
  • Generate invoices, credit notes, and other documents using the Excel and Quickbooks systems.
  • Receiving and processing invoices from vendors and utility companies.
  • Managing an electronic file system and database, as well as paper for specific legal/financial documents, such as property reports, mortgage records, invoices, and deposit schemes.
  • Putting procedures/administrative processes in place and keeping them up to date.
  • Presenting company statements, assembling and completing VAT forms as needed, general expense collation and filing, handling invoices, maintaining mortgage accounts, and interacting with the corporate accountant on a routine basis.
  • Liaison with the director and the collection of expenses/forms/invoices, ensuring that they are processed and delivered as needed.
  • To maintain consistency and a high level, proofread your work.
  • Make international and regional travel and accommodation reservations.
  • Organize meeting spaces, video/conference facilities, refreshments, restaurants, cabs, and other services, as well as engage with internal and external attendees.
  • Organizing staff meetings, socials, hospitality, and business developments.
  • Orientation of new employees and renters.
  • Recognizing the need for confidentiality while dealing with client and employee concerns.
  • Liaison with firm employees, suppliers (including vendors, real estate management, managing agents, and other important third parties in regard to a property portfolio), clients, and renters through email, in person, and call.
  • Researching on behalf of the Director.
  • Collaborating with a positive attitude to solve challenges and give outstanding service to internal and external clients.
  • Oversee housekeeping facilities.
  • When necessary, do ad hoc tasks.
