We have an exciting opportunity for an Executive Assistant role in an IT Services and IT Consulting company based in London. It is a technology company that is striving to make it simpler and more effective for travellers to ask for assistance. A bilingual Mandarin and English-speaking Executive Assistant is needed to join the high-performing team and help executives maintain high levels of productivity.
Job Requirements:
- Excellent detail-orientedness.
- Excellent organisational and time management abilities, including the capacity to set priorities and deal with shifting priorities and competing deadlines.
- Well-organized and systematic documentation skills.
- Strong communication abilities, both written and verbal, to take in complicated material and convey it to various audiences in a way that is understandable and accessible.

- Outside-the-box thinker and creative problem-solving.
- Discrete and confidential.
- Effective stakeholder management.
- Fluency in Mandarin writing and speaking is required.

Responsibilities
Job Responsibilities:
- Help organise and manage the CEO's schedule by setting up appointments, meetings, engagements, and everyday activities.
- Make sure that your inbox is effectively managed and maintained. This includes using good judgement to recognise and mark incoming emails and requests for relevant relevance and, where feasible, handling requests proactively.
- Handling data for memoranda, reports, presentations, and phone calls as well as handling information for both internal and external interactions.
- Maintain essential commercial and personal ties by ensuring quick communication and the recording of crucial occurrences.
- Serve as a liaison between workers, clients, and other partners.
- Reviewing and summarising pre-meeting materials, recording meeting minutes, and monitoring and implementing action items are all ways to assist with board meetings.
- Execute ad hoc research, summarise the results in well-organized papers, and present the information in a comprehensible way.
- Coordinating the planning and execution of both personal and professional activities.
- Support, plan, and oversee meeting and fulfillment-related logistics.
- Keeping contact information updated, sending greeting cards and presents, and communicating with friends, relatives, and acquaintances.
- When it's essential, assign work to the right personnel on behalf of the CEO to make sure everyone is keeping up with their assignments and initiatives.
- Establish and sustain ties with the larger team and others quickly.
- Various ad hoc activities that fall under the purview of this position.
