We have an exciting opportunity for a Client Relations Representative role in a San Francisco-based Non-profit Organization. The organization offers a variety of free programs and workshops to home-based childcare businesses, as well as assistance to parents and carers in developing child development skills. Utilizing a multi-line telephone system in a busy, client-centered office setting, the Client Relations Representative will deliver exceptional customer service to all clients and agency staff both over the phone and in person. 

Job Requirements:

  • A high school diploma is required. 
  • Experience as an Administrative Assistant for at least 2 years is required.
  • Bilingual fluency in written and spoken English/Cantonese is advantageous.
  • Exhibits sound judgment and punctuality. 
  • Possesses a positive attitude, a professional demeanor, and a high level of energy. 
  • Effective in a high-stress, quick-paced environment. 
  • Communication and problem-solving skills in a wide range of settings with a diverse population. 
  • Capability to work effectively with multiple-line phones, voice mail, mail machines, and fax machines. 
  • Understanding of PC Windows, Outlook E-mail, and Microsoft Office. 
  • A background clearance is essential. 
  • Ability to sit at a desk for long periods.  
  • The ability to stand for long periods.  
  • Possess the capacity to communicate verbally in person or over the phone at normal room volume levels.
  • Ability to bend, stoop, walk, and reach overhead with physical agility while lifting and carrying up to 10 pounds.   
  • Ability to think clearly and quickly enough to carry out the essential duties of the job; to assess situations and draw accurate conclusions.  

Responsibilities

Job Responsibilities:

  • Communicate with all guests and callers politely and professionally. 
  • Answers multiple phone lines for the agency and operates the voicemail system. 
  • Screens and forwards calls, and/or accurately records and forwards messages. 
  • Receives electronic or paper communications from customers or partner agencies and routes them to the appropriate staff/department.  
  • Maintains the privacy of the clients and staff. 
  • All walk-in clients are received in the reception area, and guests are directed to appropriate areas or staff as needed. 
  • Clients are introduced to online resources.
  • Answers questions about the programs and services offered by the agency demonstrate understanding of them, and, as necessary, will direct them to the right person. 
  • Ensures that the lobby, including the kids' play area and desk areas, is always clean, safe, and orderly. 
  • observes for safety in public areas. 
  • As necessary, keeps an eye on the flow of visitors and issues visitor passes. 
  • Explains the evacuation process and takes part in it. 
  • Maintains and updates a list to track the daily availability of agency personnel. 
  • Attends meetings of the Subsidy Department and other subsidy meetings as needed. 
  • Informs the Operations Manager and/or IT Manager of any phone or office machine problems. 
  • Enters data into the Brightpearl database and distributes diapers to qualified clients. 
  • Will occasionally use several different databases or programs (like CalWIN, Launchpad, ELSF, and others).  
  • Other relevant duties may be assigned.
