We have an exciting opportunity for an Office Manager role in a Real Estate agency based in CA. Providing a wide range of services for buyers, sellers, investors, landlords, and tenants, it is a full-service real estate company. They are seeking to hire an experienced person with the necessary skill set to fill this role. A 1 month trial period is mandatory to have a final position offered for this role.

Job Requirements:

  • Previous Real Estate experience with multi-unit properties and a variety of property types (from Single Family to Condos to Mixed Use).
  • Knowledge of building components and repair/maintenance needs.
  • Knowledge of the rental laws of San Francisco and the state of California, as well as the rules governing health and safety, pass-throughs, RUBs, bill-backs, and standard practices.
  • Excellent English and Diction (ass will need to draught Emails, Letters, and Other Communications or Documents).
  • A vehicle, as you might need to drive to meet with clients, vendors, and contractors and to assist with errands (fully insured).
  • The capacity to compile, file, and arrange paperwork related to real estate.
  • Computer-savvy: Building P&L, MS Suite, Adobe Acrobat, and the capacity to quickly learn and employ additional industry-relevant software.
  • A Bachelor's degree and 3 years of experience in real estate and/or office management are preferred.
  • Ability to reliably commute to the work location.
  • Detail-oriented and highly organized.
  • Independent thinking and an innate or creative approach to problem-solving.
  • Effective at completing assignments with little supervision.
  • Reliable, accountable, and trustworthy.

Responsibilities

Job Responsibilities:

  • Ascertain that property managers and bookkeepers use industry-specific software and communicate efficiently and in a reasonable manner.
  • Keep track of all projects and deadlines to ensure that nothing is overlooked and that all milestones are met.
  • Answering tenant repair requests from time to time, coordinating maintenance issues and repairs, and checking in to make sure the repairs are completed.
  • Determine the upgrades that are required for unit turnovers and remodeling.
  • Reviewing the annual budget and helping to create the monthly owner statements for every property managed.
  • Assist in leasing vacant properties (help creating flyers, ad signs, media marketing, rent surveys, etc.).
  • Assist in meticulously updating files (both paper and electronic).
  • Keeping all parties involved in the loop and informed.
  • Willing to work some weekends if necessary.
