We have an exciting opportunity for an Administration Clerk role in a Construction company based in China. The corporation has a rich history of over 60 years and a global presence in investing, development, and construction. This position's purpose is to help the Admin Manager in maintaining smooth operations by carrying out numerous administrative and clerical activities as well as daily administrative duties.
Job Requirements:
- An administrative background is necessary.
- It is preferable to have own car.
- Excellent strong Microsoft Office skills.
- English and mathematics standards of grade 3 or higher (or equivalent).
- Mandarin Chinese is encouraged.
- Trustworthy, tenacious, and sincere.
- Possess effective communication and interpersonal abilities.
- Detail-oriented.
- Productive working approach - organised and capable of multitasking.

Responsibilities
Job Responsibilities:
- Welcoming guests.
- Accepting, filtering, and directing incoming calls.
- Setting up meeting spaces, scheduling meetings, and making sure snacks and stationery are available.
- Handling all mail that comes in and goes out, as well as accepting deliveries at the office.
- Additional administrative tasks such as printing, scanning, binding, and filing different papers.
- Ordering office and kitchen supplies and stationery.
- Acquiring PPE for employees.
- Immediately report any maintenance problems.
- General cleaning to maintain the workspace tidy and professional at all times.
- Composing different written documents, such as Word, PowerPoint, and Excel.
- Creation and raising POs on Coins.
- Outlook calendars management.
- Building and maintaining a digital document control system to fulfill the demands of project and office teams.
- Project management of the document control requirements to guarantee their execution and compliance.
- Ensure that the processes are completely executed to fulfill the business's requirements.
- Recognize the durations for archiving each type of document to provide consistent archiving.
- Organizing printing and drawings (internal or external supplier) as needed, as well as internal distribution.
- Booking travel, lodging, and flights for personnel on official business.
- When necessary, assist with planning events, meetings, and office attendance.
- Whenever necessary, engage in proper training and development.
