We have an exciting opportunity for a Chinese-speaking Admin and Executive Assistant role in a forward-thinking marketing agency specializing in providing inventive and impactful solutions to clients spanning various industries. They are looking for an experienced Admin and Executive Assistant who will be involved in providing efficient and professional support in HR and operational functions, aiming to create a productive and engaging environment for our team.

Job Requirements :

  • Proficient communication abilities in both English and Chinese languages.
  • Minimum of 5 years of professional experience in administrative roles, encompassing personnel management, legal affairs, and contract administration responsibilities. Familiarity with Hong Kong and the United Kingdom practices is highly desirable.
  • Extensive background in providing office and executive assistant support.
  • Strong organizational and time management capabilities, adept at prioritizing tasks efficiently.
  • Displays meticulous attention to detail and effective problem-solving skills, capable of working autonomously.
  • Outstanding written and verbal communication skills. Fluency in English is essential, while proficiency in written and spoken Chinese is advantageous.
  • Competence in utilizing office software and Google services, including word processing, spreadsheets, and presentation tools.
  • Ability to handle confidential information with the utmost discretion.
  • Proactive mindset and eagerness to acquire knowledge about new technologies, systems, and information.

Responsibilities

Job Responsibilities:

  • Overseeing human resources operations for both UK and HK offices, encompassing tasks such as recruitment, payroll management, onboarding and offboarding processes, and HR record maintenance.
  • Collaborating closely with the Managing Director to review, revise, and draft Non-Disclosure Agreements (NDAs), commercial contracts, and other legal documentation with clients and suppliers.
  • Managing the Managing Director's schedule, including scheduling daily appointments and coordinating business travel arrangements.
  • Ensuring the accuracy and organization of company files and records, with a focus on maintaining up-to-date documentation.
  • Developing and updating company policies to ensure compliance with relevant regulations and industry standards.
  • Handling general office management duties, including supply procurement and communication with the office management team.
  • Providing assistance with various administrative and personal assistant tasks as needed.
